1. Purpose

This Policy establishes the standards for collecting, processing, storing, sharing, retaining and deleting participant data for Acer Run 2026 in compliance with the Digital Personal Data Protection Act, 2023 and other applicable Indian laws.

2. Roles

GameChangerZ SEL LLP is the Data Controller. Registration platforms, timing partners, payment gateways and authorised vendors processing participant information act only as Data Processors under written instructions from the Organiser.

3. Data Collected

Personal data may include identity, contact, emergency, participation, payment confirmation, timing and media information necessary for event administration. Sensitive information shall be limited to what is reasonably required for participant safety.

4. Processing Principles

Data shall be processed lawfully, fairly, for specified purposes only, limited to what is necessary, kept accurate, protected appropriately and retained only for as long as required.

5. Access Control

Access shall be restricted to authorised personnel on a need-to-know basis. User credentials, role-based permissions and confidentiality obligations shall be maintained.

6. Security

Appropriate administrative, technical and organisational safeguards including encryption, secure transmission, password protection, backups and audit logs shall be implemented where applicable.

7. Data Sharing

Participant information shall be shared only with authorised event partners, Acer India Pvt. Ltd., medical providers, timing partners, logistics providers, payment processors or government authorities where legally required. No personal data shall be sold.

8. Data Retention & Deletion

Data shall be retained only for operational, legal and audit purposes and thereafter securely deleted or anonymised in accordance with internal retention requirements.

9. Data Breach

Any suspected or actual data breach shall be reported immediately to GameChangerZ SEL LLP. Appropriate containment, investigation, mitigation and notification measures shall be undertaken where required by law.

10. Participant Rights

Participants may request access, correction or deletion of personal information, subject to legal and operational requirements.

11. Vendor Compliance

All vendors handling participant information shall maintain confidentiality, implement reasonable security controls and process data only for authorised event purposes.

12. Governance

This Policy shall be reviewed periodically. It is governed by the laws of India and disputes shall fall under the exclusive jurisdiction of the courts at Bengaluru, Karnataka.

Acknowledgement

All employees, contractors and authorised service providers handling Acer Run 2026 participant data are expected to comply with this Policy.
